Job Description

We are hiring a Executive Secretary Senior for one of our clients in Trenton, NJ.

Job Description:

• Act as confidential secretary to the Director of Cancer Epidemiology Services.
• Coordinates the Director's daily schedule, serving as a single and primary point-of-contact for managing all meeting coordination for DOH, Rutgers, and External partners, which includes scheduling, coordinating multiple calendars using Rutgers Outlook, setting up virtual meetings via Rutgers and DOH Teams, and Rutgers Zoom, sending reminders, preparing agendas, and reviewing minutes/recordings. Reviews and triages priority emails for the Director.
• Assist the Program Manager and Deputy Director in scheduling meetings involving internal and external stakeholders.
• Provides programmatic support to all staff in the Service.
• Coordinates all secretarial tasks as part of a bilateral administrative team from Rutgers and DOH in support of CES and to ensure day-to-day continuity of administrative services for the unit across agencies.
• Assist the Senior Management Assistant and other administrative staff within the Division as needed to address ongoing divisional- and program specific administrative needs.
• Types related correspondence for both DOH and Rutgers, including emails, letters, memos, reports, and recommendations of a confidential nature.
• Processes all incoming mail, sorts, and delivers to staff.
• Faxes and scans information to facilities.
• Answering the main phone line and forwarding messages to staff.

Skills required:

• Word, Adobe Acrobat

Experience required:

• Minimum Four (4) years of experience in secretarial and administrative clerical work.

Work hours:

• 9:00 AM 5:00 PM
• Lunch period: 1-hour lunch
